As a key member of the Global & EuCan Finance Team, you will be using your excellent organisational skills to provide dedicated support to both the VP Finance Global BBU & VP EuCan Finance and also some ad hoc support to other team members of the BBU Global and EuCan Regional Finance Team where required.
Main Duties and Responsibilities
This is an exciting opportunity for you to take on a challenging, proactive and varied role, providing comprehensive PA support to VP Finance Global BBU & VP Finance EuCan in addition to providing general administrative support to some members of their leadership teams. This role reports into Ian Parish, VP Finance Global BBU.
The role involves extensive diary management, coordinating internal and external meetings, which can include members of the Senior Executive Team. You will also be responsible for processing expenses and invoices, managing travel, as well as organising and preparing material for key meetings, along with supporting conference calls and virtual meetings
Being a confident individual, you will enjoy working with stakeholders across all levels of our organisation, across different time zones and with people from many cultures, building networks and supporting colleagues.
Often working independently and in a fast-paced environment, you must be able to respond to changes in customer and stakeholder demands with composure and have the flexibility to adapt to changing situations. A consistent focus on high work quality is essential in all aspects of the work.
Activities include:
Provide PA support to VP BBU Global Finance and VP EuCan Finance. Providing an understanding of individual and team priorities / activities by applying forward thinking in anticipation of the team’s needs; effective planning & management of managers time
Proactive diary management for the VP Finance Global BBU & VP Finance EuCan with consideration of different time zones
Extensive and proactive planning of travel arrangements, including flights, accommodation, airport transportation, car bookings, trains etc. in line with company T&E policy
Coordination and assistance with BBU LT & EuCan FLT Meetings – preparation of agendas, presentation materials and other relevant documentation, as necessary
Collating, processing and reconciliation of expense claims within timelines and ensuring compliance with the expenses policy
Organising internal/external meetings including room bookings and catering arrangements, coordinating global conference calls / video conference calls
Assisting both BBU Global and EuCan Regional Teams for any ad hoc support that they need including complex travel, visa applications etc.
Raising purchase requisitions / orders and Vendor creation through Coupa
Arranging internal / external meetings: room bookings (including working with peers to juggle availability of rooms and attendance), lunches and other logistics
Supporting department new starter onboarding
Working together with the Global and EuCan Administrative teams to coordinate on meetings and events
Essential Skills:
Proven experience of providing full PA/administrative support at a senior level
Excellent team working, networking and influencing skills
Confident and experienced using Microsoft Office and other web based systems
Excellent written and verbal communication skills
Excellent administrative, interpersonal, time management and organisational skills
Goals and solution oriented, demonstrating initiative and proactivity in the provision of support to the team.
Ability to prioritise multiple demands in a fast-paced environment
Ability to think beyond boundaries of own job, challenges status quo and seeks opportunities for continuous improvement
Access to highly confidential financial information, so discretion and privacy are also a key attribute for the role
